How it works
One workflow for managing consultants and external workforce
Consultant procurement involves a chain of decisions, handovers and approvals. Inkopio VMS connects the entire process in one structured workflow — from the initial request to invoice.
01 – Request
A structured start for every need
Every consultant engagement starts with a clear request.
Inkopio VMS helps managers and procurement teams create structured requests for individual consultants, teams and fixed-price assignments. Templates, skills, approvals and supporting documents help capture the need correctly from the start.
AI-enabled support can help users create clearer, skills-focused assignment descriptions, reducing unnecessary back-and-forth before sourcing begins.

02 — Source
Connect the right suppliers to every request
Once a request is ready, Inkopio VMS helps procurement distribute it to the right suppliers based on framework agreements, categories, geographies or specific sourcing needs.
Suppliers respond directly in the platform with candidates, team offers or assignment proposals.
Prices can be validated against framework agreement rates where available, giving procurement a stronger basis for comparison, negotiation and compliance.
↓
03 — Select
Compare offers and make better-informed decisions
Inkopio VMS gives buyers and managers one place to review CVs, rates, availability, skills and supplier responses.
Offers can be compared, shared with stakeholders, moved through statuses and scheduled for interviews.
AI-enabled profile matching can support evaluation by summarising profiles and comparing candidate experience against the requested skills.
↓
04 – Contract
Turn decisions into contracts
Once a consultant or assignment has been selected, the offer can be converted into a contract using your own templates.
Approvals, digital signatures and signed documents are handled within the workflow, with contracts automatically stored in Inkopio VMS.
↓
05 – Manage
Stay in control after the contract is signed
Consultant management continues beyond contracting.
Inkopio VMS supports onboarding, extensions and offboarding through structured workflows, notifications and approval steps.
Organisations can manage key information, background checks, confidentiality documents and other role-specific requirements in one place.
↓
06 – Time & Cost
Connect time and costs to what has been agreed
Consultants and suppliers report time and costs directly against the relevant contract.
Standard time, overtime, standby, on-call time, expenses and other cost types can be managed in the platform, with project codes supporting accurate allocation.
For team assignments, consolidated reporting allows the full team’s report to be approved together.
For fixed-price assignments, the agreed amount can be submitted for approval according to the defined process.
↓
07 — Invoice
From approved costs to accurate invoicing
Once time and cost reports are approved, Inkopio VMS can create self-billing invoices based on the approved data.
Invoices can be sent as PDF or e-invoice to Accounts Payable, reducing manual administration and improving accuracy.

08 – Insights
Turn operational data into better decisions
Because the entire process is connected, Inkopio VMS captures data across requests, suppliers, offers, contracts, time reports, invoices and evaluations.
Procurement, finance and leadership gain better visibility into:
External workforce spend
Headcount
Rates
Supplier performance
Lead times
Compliance
Demand patterns
Instead of chasing information across different systems and files, teams can work from one shared source of truth — and use that data to continuously improve consultant procurement.
